Wedding Invitation and Stationery Checklist: Things to Do

Here is a simple checklist to help you stay organized and keep track of all your wedding invitation and stationery details.

Things to Do:

  1.  Set your wedding stationery budget.
  2. Begin your search for a wedding stationer to make: save the date cards, invitations and RSVP cards, information cards, programs, seating cards, table number cards, menu cards, and thank you cards.
  3. Book your stationery vendor and place order for desired stationery items. Send your deposit to the stationer.
  4. Provide the stationer with wording for your invitation set and any other items that you order.
  5. Review proofs for invitation set and any other stationery items.
  6. Get the mailing address from each invited guest.
  7. Call calligraphers to view work samples and discuss their fees.
  8. Book a calligrapher or ask a friend to assist you with your calligraphy needs.
  9. Provide a complete guest list with addresses and envelopes to whoever is addressing the invitations.
  10. If applicable, provide calligrapher with seating cards and table number cards.
  11. Buy stamps for response envelopes.
  12. Assemble all wedding invitations and stuff envelopes.
  13. Take stuffed envelopes to be hand-stamped at the post office.
  14. Buy a guest book.
  15. Buy pens for guest book.
  16. Assign a close friend or relative to oversee the guestbook at wedding.
  17. Follow up with guests who have yet to respond (about two weeks prior to wedding date).
  18. Address your wedding announcements.
  19. Assign someone the responsibility of sending the wedding announcements either on the day of the wedding or the day after.
  20. Inform your bridal party with details on the rehearsal. The rehearsal dinner host should send rehearsal dinner invitations to the guests.

Helpful Tips:

  1. For your out-of-town guests, send save-the-date cards as early as six to nine months before the wedding date.
  2. Mail wedding invitations at least six to eight weeks before the wedding date; for weddings during the holiday seasons, the earlier the better!
  3. Do not put registry information on the invitations; Set up a personal wedding website or reply upon word of mouth.
  4. Before placing your order, find out if your reception venue or caterer will provide table number cards for reception tables.
  5. Order extra inner and outer envelopes for any addressing mistakes.
  6. Do not use abbreviations to address invitations, with the exception of people’s titles.
  7. Couples may choose to send wedding announcements to friends and family members who weren’t invited to the wedding. These wedding announcements are to be mailed on the day of the wedding or the day after.
  8. We recommend sending a Thank You card within two weeks of receiving the gift. For the gifts received on the wedding day, aim to send thank you cards within three months due to your honeymoon travel. A timely Thank You note is always appreciated.
